We saw in our earlier tutorial about Excel Ribbon, the different Tabs, Groups and Commands which are available for you to use. In this tutorial let us quickly see how we can customize the Ribbon.
Customizing Excel Ribbon
Every user will have their own preferences in accessing certain options for their day to day work. For example a user may only work extensively on Formulas and would like to move the position of the Tab which can accessed easily. Some Tabs may have groups that you may not need which could be removed by customizing the ribbon.
So let’s quickly see how you can customize the ribbon today.
You can access the options to customize the ribbon in one of the two ways:
1) Click on File Menu and then click on Options. You will now see Excel Options dialog as shown below
2) Right click anywhere on the Ribbon (on any tab) and in the contextual menu you should see the Customize the Ribbon… option.
Add, Remove and Rearrange Ribbon Tabs, Groups
The Customize Ribbon window will have two sections, the right section will display all the Tabs that are currently enabled in your Excel and the groups under them.
You can uncheck the Tabs to exclude them from your Excel Ribbon and remove the individual groups under each Tab. You can also change the order of the Tabs or groups.
What you cannot do is remove the commands within the Group or reorder them. But this restriction is only applicable for the defaults groups of excel.
To Add a New Tab, click on the New Tab button which will create a New Tab and Group for you.
You can now right click on the New Tab that was created and rename it or remove it.
On to your left side you will have commands listed that you can pick and add to the ribbon.
From the drop-down select the Commands Not in the Ribbon option which will just list those commands which are not available in your current Ribbon. This might come handy if you are just looking for commands which are not already available in your ribbon.
Once you are done with your ribbon customizations you can just export them, as an “.exportedUI” file. You might want to do it because all those ribbon customizations are applicable only to your computer and if you want to use the same settings elsewhere you need this file.
To Export the settings just click on the Import/Export button and select either Export all customizations to save your ribbon settings to computer or click Import customization file to load the saved customizations in to a new computer.
You can also completely reset the Ribbon to how it was earlier by clicking on the Reset button.
As a beginner understanding the ribbon will also help you to know about various commands that are available which you can put to use.
